TADIS evaluates your project based on document type, condition, current retrieval methods and future requirements. Index requirements and appropriate dpi (dots per inch) are determined.

Project evaluation is the first step to a successful conversion. When done properly, the information gathered in this initial step will result in a seamless transition from a paper environment to an electronic system dramatically reducing the time spent with paper.

Many elements need to be evaluated. Although some elements are more important that others, it is the total picture of how each element relates to the whole that produces the best conversion plan for your specific situation.

Each of the elements to be evaluated fall within one of three major divisions: Documents, End Use, or Retrieval Method.

Documents – There is a large number of different types and sizes of documents that can be converted. These include paper, as small as business cards and as large as ISO size A0 (33.11 x 46.81 inches), microfiche, microfilm, and aperture cards. Their condition can vary from new to old; black & white or color; clear, crisp text to faded and blurred; and ripped or torn. This information helps to determine the types of scanners and the DPI (dots per inch) setting to be to be used in the conversion.

End Use – Typical end uses of converted documents rage from internal use such as look up and reference to external use where information and documentation is provided to requestors. The end use helps to determine the level of indexing required (were a file should be broken), and what format it should be converted to (tiff, pdf, Word, etc).

Retrieval Method – The ease at which you will be able to find the correct document is the real power of a conversion. Your ability to find it easily from your PC is a function of correct indexing. To establish the correct indexing a complete review of how you now find that document is conducted. What information do you now use  to find the document (i.e. patients name, date of birth, client number, etc)? TADIS starts with the system that now works for you, and then adds (if necessary) fields that will assist you with current and future needs. This method will provide the best and quickest retrieval system.

Once all of the above information is gathered the best conversion plan for your specific situation is developed.
